In order to standardize the archive management of the Zhejiang Wuzhou Stomach Health Charity Foundation (hereinafter referred to as the foundation), and enhance the practicability and effectiveness of the foundation's archives, this system is specially formulated in accordance with the reality of the foundation.
1. Scope of archivesFoundation planning, annual plans, statistical data, financial audits, accounting files, labor and wages, operating conditions, personnel files, decisions, power of attorneys, agreements, contracts, project plans, project proposals, project activity notices, etc., have preservation value Documents or documents (including electronic documents) and related image data.
2. The Foundation's File Management
(1) The office is responsible for the management of the documents and archives of the foundation and a designated person is appointed to manage it.
(2) The financial archives of the foundation are managed by a person designated by the fund management department.
3. Data collection and sorting
(1) In accordance with the scope of archives, the contractors of various departments shall promptly send them to the archives management personnel for centralized management.
(2) The archives management personnel shall timely collect all the documents and materials of the foundation in various categories and carriers, and file and organize them in a timely manner in accordance with relevant regulations.
(3) In accordance with the relevant requirements of the archives of the Ministry of Civil Affairs, set up archive catalogs and other search tools, and ensure that the archives are uniform and conform to national standards.
(4) All documents that are more than secret must be placed in the archive counter of the office.
(5) The foundation shall ensure sufficient archive equipment and archive storage facilities, and sufficient archive warehouse area.
4. File borrowing and reading
(1) The chairman, deputy chairman (secretary-general), deputy secretary-general, and department directors can directly go through the borrowing procedures through the archivist for borrowing files.
(2) When other personnel of the foundation need to borrow files due to work needs, they need to submit a file borrowing application, which shall be approved by the office director and go through the file borrowing procedures.
(3) File borrowers must do the following: take good care of the files, keep them tidy, and strictly prohibit alteration. Pay attention to safety and confidentiality, and it is strictly forbidden to reprint, copy, lend, or lose without authorization.
This method shall be implemented from the date of promulgation.
